Account details (name, email address, workspace and role); content you create (recordings, transcripts, documents and templates); billing information held by our payment provider (we never store full card numbers); and technical records such as sign-in events, audit entries and error logs needed to keep the service secure.

To provide the service you asked for, to produce your documents, to take payment, to keep accounts secure, to meet legal and accounting obligations, and to support you when you ask for help. Where you are a professional using DictaFlex on behalf of your own clients or patients, you remain the controller of that record content and we process it on your instructions.

We do not sell personal data, use your recordings or documents for advertising, or supply them to third parties to train their models.

Only the service providers needed to run DictaFlex — cloud hosting and database, speech recognition, email delivery and payment processing — each under contract and only for that purpose. We also disclose information where the law requires it.

Content stays until you delete it or close your workspace. After closure we remove content within a reasonable period, retaining only what we must for legal, tax and security records.

You may ask for a copy of your data, correction of inaccurate data, deletion, restriction or objection to processing, and portability. Contact us and we will respond within one month. You may also complain to the Information Commissioner's Office.

Access is role-based and enforced on the server, data is encrypted in transit and at rest, two-factor authentication is available, and activity is audit-logged. Automated security scans run every hour.

If we change this policy we will update this page and, for significant changes, notify account holders by email.
